​Role Description – Vice Secretary of KAFC

 

Requirements

​

  • KCC Registered Foster Carer.

  • Trustee of KAFC.

​​

Functionality

​

To support the KAFC Secretary with the following and cover when delegated.

  • To ensure arrangements for Committee/Trustee/AGM meetings are met; booking the room, arranging for equipment, refreshments and access arrangements, emailing/Whats App committee members so they are aware of meeting.

  • Prior to meetings, prepare, circulate and update agendas and any supporting paperwork in consultation with KAFC Trustees for KAFC Committee Meetings, Trustee Meetings and AGM’s.

  • Minute Committee/Trustee/AGM’s/Extraordinary meetings and circulate draft minutes to Trustee/ Committee members and keep a copy final minutes.

  • To check that Trustees/Committee Members have carried out action(s) agreed.

  • To ensure up-to-date records are kept of committee membership (spreadsheet and WhatsApp).

  • To ensure that members are aware of the KAFC Constitution and Charity Commission requirements and that these are adhered to. 

  • To ensure that meetings are inclusive.

  • To chair secretary sub-committee meetings and ensure that minutes are accurate and actions completed.

  • To collate and store received minutes from Local Social Committee.

  • When in possession of the KAFC mobile phone, ensure that it is kept charged and monitored.

  • To ensure that all Trustee and Committee members sign their role description, provide a copy for their information and retain a copy on file.

  • Refresh and provide new information as required, including but not limited to; home, support, education, events, external events, donate, raffle, get involved, about us, discounts and benefits, contact us, social committee meetings, save the dates. 

  • Change and communicate the password to access the EVENT page on website.​

  • Ensure licence for WIX is actioned.

Support

​

  • To support and delegate to Local Social Committee Secretaries where appropriate.

  • To ensure that matters are dealt with in an orderly, efficient manner.

  • To support trustees and committee members in their roles.

  • To support advancement of the charity, financially, professionally and in its capacity.

Representation

​

  • To be the contact for Local Social Committee Secretary’s.

  • To advocate and represent the charity at external meetings and events.

  • To inform trustee/committee members of any issues that may affect the charity.
